At the start of the Covid-19 pandemic, our client urgently needed to transition their on-campus learning, which was a major revenue stream, to an online model. Process Complete responded immediately, and designed and built this solution at short notice.

We built a portal where learners can explore available online courses and book places on forthcoming live sessions. We engineered several ways to explore the programme to maximise engagement with the portal. Features we developed to meet their needs include:

We helped a leading executive education provider to develop a home for their suite of online learning materials, which is accessed by thousands of users worldwide. Before we began working together, their content was strong but their technology stack was outdated and the platform unreliable. Making records digital

An electronic records management system enabling a city council to digitise paper records, reduce physical storage needs and streamline access, security and retention requirements.

We implemented an electronic document records management system (EDRMS) for a city council. They had procured an EDRMS to meet their regulatory compliance requirements, but unfortunately the supplier went out of business before delivering the system. We stepped in to provide them with specialist skills to help them design and build a solution in their existing Microsoft SharePoint installation, and we also migrated all their existing electronic and paper records in to SharePoint. Our solutions and ongoing support for the council included:

Performing a gap analysis of the features they needed from an EDRMS compared with what SharePoint provided out of the box
Identifying how to simplify their processes through configuration and automation
Developing custom solutions for their key requirements around security, audit, retention and disposal
Integrating Kofax and SharePoint to digitise all paper HR records, and migrating all existing records for Adult Social Care
Building a streamlined interface that allowed users to easily create documents from templates with correct metadata
We integrated the system with new line of business applications, allowing documents from SharePoint to be accessed seamlessly by end users.
We also built a custom claims provider which ensured users could only access permitted cases and document types, and provided an enhanced shielding facility for vulnerable cases.

We also introduced mechanisms for automating builds and scripting. These were then adopted for all SharePoint projects developed within the council. This saved time and reduced risk, and allowed developers, testers, product owners and administrators and to easily manage and approve changes.

Following the successful rollout of the EDRMS for HR and Adult Social Care, we then worked with records managers and solution architects to produce a roadmap and capability matrix with the aim of defining a corporate offering that could be easily applied other directorates in the future.
